Description

We are seeking for a Facility Coordinator to drive ensures the effective management and maintenance of the organization’s facilities, creating a safe, functional, and efficient work environment. Our new colleague will play a vital role in planning and coordinating office-wide processes, including facilities maintenance, space planning, office moves, and equipment installations. You will collaborate with both internal and external stakeholders to ensure the smooth execution of events and projects. Your task will be to foster a collaborative office environment, ultimately supporting overall operational goals and enhancing employee productivity.

Your main responsibilities will include the following areas::

  • Collaborating closely with the Travel & Facilities Manager.
  • Serving as the main point of contact for employees on administrative matters.
  • Coordinating reception operations.
  • Handling incoming and outgoing mail, including maintaining the correspondence log and coordinating with courier services.
  • Managing office supplies and inventory.
  • Implementing space optimization strategies.
  • Preparing and coordinating conference rooms for internal meetings and customer visits.
  • Developing and maintaining a facilities management schedule.
  • Monitoring alarm, security, and fire protection systems.
  • Supporting subcontractor relationships for services such as cleaning, gardening, and minor renovations while monitoring supplier performance during renovations.
  • Coordinating office equipment purchases.
  • Tracking the validity of insurance policies and other important documents.
  • Tracking deadlines for technical inspections.
  • Assisting in the organization of company events.
  • Facilitating communication between departments.
  • Addressing day-to-day office issues.
  • Managing office access and facilitating training for new employees.
  • Representing the company with a high level of professionalism and service quality

Skills / qualifications required:

  • At least 1 year of experience in a similar role
  • Ability to prioritize and manage urgent tasks efficiently
  • Strong multitasking skills with a comprehensive outlook
  • Strong organizational abilities
  • Problem-solving skills
  • Goal-oriented, focused on optimizing costs while upholding high standards
  • Dynamic and proactive mindset

  • Good knowledge of English
